SUMMARY
Relieves officials
of clerical work and minor administrative and business detail by performing the
following duties.
ESSENTIAL DUTIES
AND RESPONSIBILITIES include the
following. Other duties may be assigned.
1. Provides administrative support and
assistance to the supervisor of department/division.
2. Facilitates communications, anticipation,
planning and follow-up on administrative matters.
3. Processes confidential information and
coordinates various projects.
4. Manages administrative and clerical affairs
of the department/division supervisor
5. Coordinates department/division supervisor's
schedule; makes appointments; coordinates travel arrangements; schedules
meetings.
6. Conducts research as assigned; compiles and
prepares reports.
7. Assists with annual budget development and
subsequent preparation and tracking of requisitions and purchase orders
8. Orders and maintains supplies and arranges
for equipment maintenance.
9. Coordinates projects/reports with other
departments and divisions.
10. Manages and/or
monitors multiple projects and coordinated tasks, with some weekend and evening
work required to meet strict deadlines.
11. Handles
inquiries and exercises sound judgment in referral of inquiries to correct
concerns.
12. Seeks to solve
problems, addresses concerns, and plans ahead with great attention given to
customer service, project quality, and exact detail.
13. Checks
compliance of documentation
14. Monitors
expenses and revenue
15. Performs duties
specific to department/division
16. Performs other
duties as assigned
QUALIFICATIONS To
perform this job successfully, an individual must be able to perform each

1. Possesses excellent oral, written and
interpersonal communication skills
2. Possesses a strong background in computers
and office automation, including word processing, spreadsheets, database,
Excel, PowerPoint and knowledge of the Windows environment
3. Strong proficiency in English
4. Ability to prioritize, organize and complete
multiple tasks
5. Demonstrated ability to interact effectively
in a diverse, multi-cultural population
6. Ability to work independently as well as a
team player within department and with others
7. Interacts with the public in a positive
manner and answer questions regarding programs and department matters
8. Possesses good critical-thinking and
problem-solving skills
EDUCATION and/or
EXPERIENCE
*Associate's degree
or minimum of 60 college hours preferred.
*Minimum of three
years work experience in a professional work setting, preferred.
LANGUAGE SKILLS
Ability to read and
interpret documents such as safety rules, operating and maintenance
instructions, and procedure manuals.
Ability to write routine reports and correspondence. Ability to speak effectively before groups of
students, customers or employees of organization.
